For each hotel we store the information the hotel enters: rooms, rates, bookings, guest names and contact details, payments, and staff accounts. We also keep a record of who changed what, so every hotel can see its own activity log.
The hotel owns its data. We hold it only to run the service for that hotel. We do not sell it, and we do not use guest details for advertising.
Only people the hotel has given access to. Within a hotel, each staff role sees only what it needs. Our own staff open a hotel's data only to give support the hotel has asked for.
If a staff member allows notifications, we send alerts such as room status and overdue check-outs to their phone. They can turn these off at any time in their phone settings.
Data is stored with a managed database provider, sent over encrypted connections, and protected by sign-in, password rules and lockout after repeated failures.
A hotel can export its tables to CSV at any time. To delete a hotel's data, email us from the owner's address and we will remove it within [30] days, apart from records we must keep by law.
Smart Concierge is a hotel management service you use through a web browser. We work to keep it available and to fix problems quickly, but we cannot promise it will never be interrupted.
You are responsible for the people you give logins to and for keeping passwords private. Please tell us if you think an account has been misused.
Fees are as agreed with you at sign-up and shown on the Pricing page. Add-ons can be switched on or off. [Describe billing period, payment method and what happens if a payment is late.]
Check that the rates, tax and totals the system produces are right for your business and local rules. You are responsible for the accuracy of what you enter and for the tax and invoicing rules that apply to you.
You can stop at any time by telling us. We will give you an export of your data first. We may suspend an account that is misused or is unpaid after notice.
